PDF vs Images: Pros, Cons, and When to Use Each
Sending a document as a PDF or as photos changes how it looks, how big the file is, and whether it opens the same way everywhere.
A common moment of friction: someone asks for "the document" and you have five photos of pages on your phone. Do you send five separate images, or turn them into one PDF first? The answer depends on what the other person needs to do with it.
Advantages of PDF
- One file instead of many — nothing gets lost, reordered, or opened out of sequence
- Looks the same on every device and every screen size, unlike an image which can display at wildly different sizes depending on the viewer
- Reads as more "official" for applications, contracts, invoices, and anything formal — most institutions expect PDF, not photos
- Print-ready by default, with predictable page breaks
Disadvantages of PDF
- Slightly larger file size than a single compressed image, especially for scanned pages
- Not ideal if the recipient just wants a quick visual — opening a PDF viewer is one extra step compared to an image that displays inline in a chat app
- Harder to edit later without the right software, compared to cropping or annotating a plain image
Advantages of images
- Opens instantly inline in WhatsApp, Instagram DMs, and most messaging apps — no separate viewer needed
- Simpler to crop, mark up, or resize afterward
- Better for anything meant to be viewed as a picture rather than read as a document — a photo of a product, a screenshot, a certificate you're showing off
Disadvantages of images
- Multiple pages means multiple files, which is easy to send out of order or lose one along the way
- Display size varies by device — what looks fine on your phone might display tiny or huge on someone else's
- Reads as informal — not the right choice for a CV, a contract, or a form
The practical rule
If you're sending anything more than one page, or anything that needs to look consistent and complete — an application, an invoice, a set of ID documents, a report — combine them into a single PDF first. If it's a single photo meant to be looked at rather than read, keep it as an image; converting a single photo to PDF just adds friction for no benefit.
